Our Refund Policy

We understand that plans can change, and we strive to offer a fair and transparent refund policy for our services. Please review the following guidelines regarding refunds for our travel coordination packages:

Standard Package (200 CAD)

  • Full Refund (100%): Cancellations made within 48 hours of purchase and before any work has been initiated on your travel planning.
  • Partial Refund (50%): Cancellations made more than 48 hours after purchase but before your personalized itinerary has been finalized.
  • No Refund: Cancellations made after your personalized itinerary has been finalized and delivered, as significant work has already been completed.

Travel + Medical Package (350 CAD)

  • Full Refund (100%): Cancellations made within 48 hours of purchase and before any work has been initiated on your travel or medical planning.
  • Partial Refund (70%): Cancellations made more than 48 hours after purchase but before any clinic contacts or medical appointments have been arranged.
  • Partial Refund (35%): Cancellations made after initial clinic contacts but before final arrangements have been confirmed.
  • No Refund: Cancellations made after all arrangements have been finalized and confirmed with medical facilities.

Requesting a Refund

To request a refund, please contact us at refunds@canadapoland.com with the following information:

  • Your full name and contact information
  • Date of purchase
  • Package purchased
  • Reason for cancellation
  • Any reference or order numbers associated with your purchase

We will review your refund request and respond within 3 business days. Approved refunds will be processed back to the original payment method within 7-10 business days.

Special Circumstances

We understand that unforeseen circumstances such as medical emergencies, family emergencies, or other significant events can impact your travel plans. In these cases, please contact us as soon as possible, and we will review your situation individually and work with you to find a fair solution.

Non-Refundable Expenses

Please note that any third-party expenses already incurred on your behalf (such as non-refundable deposits for accommodations, appointments, or other services) may be deducted from your refund amount, regardless of when you cancel.

Modifications Instead of Cancellations

If you need to change your travel dates or modify your plans rather than cancel entirely, please contact us as soon as possible. In many cases, we can adjust your itinerary without requiring cancellation and rebooking.
